The Role
As the Office Manager, you will be taking on the task of leading a team of letting agents within a brand new office which has been set up as a merger between two of East London’s prominent letting agents. You will be expected to oversee the day to day running of the office and operational side of the business, ensuring all problems that arise are resolved in a professional manner and high standards of customer service are kept. You will be expected to monitor the progress and achievements of all staff including targets and identifying areas of the business that need strengthening. You will also be responsible for providing monthly one to one meetings with staff when necessary, implementing disciplinary action and necessary staff training requirements, if required.

The individual must be confident in their management abilities and leadership skills and strive to ensure that they and their team achieve high standards in everything they do. The ideal candidate must also be decisive and be able to use their initiative to resolve any problems that may arise.

This role pays a basic salary of £35,000 - £40,000 per annum. The ideal candidate should have a minimum of 1-2 years experience in property/lettings maintenance. They should also have human resources and customer service experience and consider themselves to be a confident sales person. They must also hold a full UK driving licence.

Key Responsibilities

• The Property Services and Voids Manager will deal with day to day operational issues and problems
• Carrying out inspections to empty properties and making specifications for works
• Negotiating best prices for works with contractors
• Making sure works are carried out within timescales
• Carrying out inspections to tenanted properties looking at large scale repairs and making a report of what is required to be carried out
• Quality control – inspecting works during and after completion, making sure that works are being carried to standards
• Build up and keep good relations to stakeholders

Other Responsibilities

• Manage filing and database systems and ensure office is well maintained
• Monitor staff targets and identify areas of training that may be necessary
• Dealing with repair and maintenance issues for managed properties
• Maintain an enthusiastic working environment making sure staff morale is always high
• Management of a portfolio of properties, ensuring that services are received on time
• Ensuring managed properties are serviced correctly and kept up to standards
• Overlooking Housing Officers and Lettings Inspectors

Knowledge & Experience

• Have previous experience in property sales or property lettings (or operations management), administration or customer services and/or any other property management type roles
• Excellent leadership and motivational skills
• Be an organised and well structured individual with strong IT skills and sound knowledge of MS Office
• Be able to manage a busy workload and prioritise well
• Be resilient and calm under pressure
• Be able to manage a team of staff including the setting of and achievement of targets
• Have a good knowledge of ‘Social Housing’, the expected standards of DSS (Department of Social Security) properties and the standards required to let private properties to local authority Tenants
